Executive Summary

In February 2024, GMTC was tasked with organizing an incentive trip for 150 guests from Indonesia, with only 24 hours between confirmation and arrival. 

Introduction

The Incentive Group of Indonesia sought to reward its top performers with a memorable, multi-destination experience across Malaysia. With just 24 hours between confirmation and arrival, GMTC had to demonstrate exceptional agility, coordination, and service delivery. Despite the tight timeline and concurrent programs, the team successfully executed a seamless 4-day journey across Penang, Ipoh, Genting Highlands, and Kuala Lumpur—delivering high service standards across travel, hospitality, and events.

Objectives

  • Provide a comprehensive and inspiring incentive experience across beautiful Malaysian destinations. 
  • Manage logistics, hospitality, and events seamlessly despite only 24 hours preparation time. 
  • Maintain a high standard of service while adapting to evolving on-ground needs 

Methodology / Approach

  • Rapid Deployment: Sent an experienced operations lead from India ahead of group arrival. 
  • On-Ground Collaboration: Partnered with local teams for concurrent execution. 
  • Lead Presence: Maintained central coordination to ensure smooth operations. 
  • Flexibility: Managed last-minute requests like additional bedding and activity changes.

Solution / Implementation

The itinerary included:

Day 1
On 21st February 2024, the Indonesia Incentive Group arrived in Malaysia via three separate flights. The guests were welcomed with snack/lunch boxes and transferred to Penang. A photo stop at the Esplanade offered a scenic start before concluding the day with dinner at Final Restaurant and check-in at Sunway Georgetown Hotel.

Day 2
The day began with breakfast, followed by a visit to Penang Hill. The group then proceeded to Ipoh for lunch and a heritage tour covering Qing Xin Ling, Perak Cave, and Concubine Lane. Dinner was hosted at Simpang Tiga, and the night was spent at Impiana Hotel, Ipoh.

Day 3
After an early check-out and packed breakfast, the group attended Friday prayers before heading to Genting for a Gala Lunch at Genting Convention Centre. Post-lunch, they visited Batu Caves and Sungei Wang before checking into Berjaya Times Square Hotel in Kuala Lumpur.

Day 4
The final day included morning visits to KLCC and Dataran Merdeka, followed by lunch and coordinated departure transfers for all guests.

Results & Outcomes

  • Delivered a successful 150-participant program with less than 24 hours’ notice. 
  • Ensured flawless transfers, accommodation, and event execution across three venues. 
  • Quick adaptation to last-minute changes, maintaining service excellence. 
  • Received high praise for punctuality, professionalism, and guides’ enthusiasm.
